TERMS & CONDITIONS

Full terms & conditions for Debbies Cakes & Catering (formally known as Grab & Go Sandwich Co) are detailed below.


Paying your deposit will be deemed that the terms and conditions are understood and accepted as applying to your order.

PRICES

All prices are non-negotiable and priced according to your exact design and the size of your cake.

SAMPLES

We can provide samples of our cakes and are charged at £25

Samples provided are 4 x 4 inch cakes.


1 x Vanilla sponge & Jam (strawberry or raspberry)

1 x Lemon sponge & lemon curd with a zesty lemon buttercream

1 x Redvelvet with cream cheese style buttercream

1 x Carrot cake with cream cheese style buttercream


We can do other flavours by request but generally keep it to 4 flavours for samples.


The charge of £25 is only an initial payment, and does get removed from final Bill on every successful order placed.

DEPOSITS

Wedding Cakes & Buffets: A non-refundable £25 deposit is required in order to secure the date of your Wedding Cake or Buffet 
This will be deducted from the final amount.

A further 25% non-refundable deposit is required 6 weeks prior to venue date to enable us to purchase items to make your Wedding Cake or Buffet.


Celebration/Birthday cakes: Cakes under £100 we require a £20 non-refundable deposit at time of booking, If cake is over £100 then we would require a 25% non-refundable deposit. 

If your deposit is not paid within 1 week (for birthday cakes, celebration cakes, wedding cakes and buffets) of quoting then we reserve the right to cancel any previous arrangements.


LATE BOOKINGS

Late bookings are bookings classed as anything from 1-10 days. Cake orders I can take in some circumstances the day before they are needed as long as they are booked in before 12pm and providing I have all the ingredients and decorations needeed.

Orders of this nature will requier payment in full via bank transfer at time of booking. 

We also cant guarantee we will have delivery slots available so please be aware you my need to collect.
 

PAYMENTS

Payment should be made by bank transfer to  Name: Deborah Harris - Bank: Halifax - Sort Code: 11-00-98 - Account No: 11483068 Please email or Private Message us through our Facebook page with confirmation of transfer in order for us to promptly acknowledge payment.


FINAL PAYMENT

Final payment for your Wedding Cake or Buffet is required no later than 7 days before via bank transfer.

Final Payment for Celebration Cakes is by 12pm 2 day's before they are booked in for via bank transfer.
Please pm me your payment confirmation ASAP so that I can make a start on your order.

NOTE: It is your responsibility to remember to send this payment as during busy periods a reminder is not always issued.

Cheques cannot be used as payment method for the final payment.

ORDER CONFIRMATION

Celebration cakes, Birthday cakes, will need be confirmed 2 day's before they are needed. weddings a week before.

We will contact you to ask if you would still require order, however, we can not always during busy periods send out reminder message's to confirm this so would therefore be your responsibility to contact us.


NOTE: If we have not heard from you by 12pm the day before order or final payment  due date, the order will be cancelled.

CANCELLATION

If you need to cancel for any reason, then please let us know at the earliest possible moment so that we can offer date to someone else.

If cancellation of an order takes place we reserve the right to retain your non refundable £20 date deposit.


If cancellation of an order takes place we reserve the right to retain your non refundable 25% materials deposit


If cancellation takes place less than 7 days before the event then we reserve the right to seek 100% of the order value.


Cancellation must be made in writing (by letter or email or PM through our Facebook page) to Debbies Cakes & Catering (formally known as Grab & Go Sandwich Co) and will only be deemed to take effect from the date your letter/email/PM is received at our premises.


If you postpone the event we will endeavour to transfer your order providing the date is suitable for ourselves, otherwise it shall be treated as a cancellation (see above).


We retain the right to cancel the booking in very unusual circumstances beyond our control, such as fire or ill health, during which we will refund any money taken in full.

DESIGN CONDITION

It is your responsibility to read & check the quote thoroughly, any amendments to design should be made in email or PM

If requested, we will endeavour to adjust the design where possible, but sometimes this is not possible according to the nature of the request or amount of notice given. If the alteration affects the cost, or preparation work for the original design has already been undertaken, then your balance will be adjusted accordingly. Please warn us when you pay your deposit if you are undecided on the design.


We reserve the right to change the design at any point if circumstances beyond our control, may compromise the quality of the finished cake, e.g. Melting due to weather.


Each cake is made individually by hand, so although every effort is made to ensure consistency, a small amount of variation may occur from the design requested / picture supplied.

CHOCOLATE

We recommend extreme caution if you are considering a cake decorated with chocolate for a summer wedding (May-September). We cannot accept responsibility for any melting of the cake once it has left our possession, as we have no control over the environment / venue temperature. We can however advise you of designs that are less susceptible to melting and do everything within our control to reduce the impact on the cake.

HOME BAKED FRUIT CAKES

We understand the sentimental significance of having a family member bake your fruitcake, which you may request us to ice / decorate. We are happy to do this for fruit cakes (but not sponge cakes) however we must ask that the cakes conform to our strict guidelines so that we can achieve an appropriate finished look and you are not disappointed with the end result.


We cannot be held accountable for any flaws, which are a result of the cake being baked by someone other than ourselves. Please enquire for further advice before baking the cake.

FLOWERS

If your cake requires fresh flowers, then these are not included in the price, unless stated at time of booking. We can work with your florist but expect you to make all the necessary arrangements with the florists. Please note Debbies Cakes & Catering (formally known as grab and go sandwich co) are not responsible for any problems with your fresh flowers.


We cannot take responsibility for any damage rendered to the cake caused by a floral arrangement that was implemented by your florist.


If fresh flowers are used, the cake will be set-up as late as feasibly possible to ensure their freshness throughout the day, but depending on the varieties used & the weather conditions at the time, it may be necessary to cut the cake relatively early on in the proceedings to ensure their freshness for the photography.

ALLERGIES & SPECIAL DIETARY REQUIREMENTS

Please discuss with us if you or any of your guests are highly sensitive to either Gluten or Dairy based products.

NOTE: We can make cakes using gluten free flour and non dairy products, however, although we take great care when it comes to cross contamination ie thorough washing and rinsing of utensils and cake pans, I do prepare other gluten and dairy based products in my kitchen and therefore cannot guarantee them being 100% trace free.

All of our products come with an Allergen card which list any allergens that may be present by the way of check boxes.
If any of our products contain any of the 14 allregens listed then the box corrisponding to that specific allergen will have a tick in.

NON-EDIBLE ITEMS

Most cakes contain small proportions of inedible items; it is the client’s responsibility to ensure these are removed by your caterer/guests before consumption e.g. Support dowels in tiered cakes, ribbon, wires in sugar flowers, Swarovski crystals, flower picks & flower tape etc.


Some flowers (e.g. Ivy) are poisonous and not suitable for use on food products, you should notify your flower supplier of your intention to use the flowers on food to ensure that non-poisonous flowers are used.

DELIVERY CONDITIONS

A request for delivery must be made at time of booking as we may not always be able to delivery due to delivery slots already allocated for other orders.


Charges for delivery are calculated on a area basis. Alternatively, cakes can be collected from our premises.

Other areas can be done but needs to discuss details before delivery is agreed.

If you choose delivery, it is our intention that your cake will be delivered in perfect condition prior to the start of your event. However we ask for patience with factors that may be beyond our control (e.g. traffic conditions) as we cannot be held liable for any such delays. In some circumstances, we may recommend the cake be delivered 1 day in advance. It is your responsibility to ensure you inform us of your correct ceremony and event time plus the postcode of the venue.


 In the unlikely event of late delivery, the maximum compensation will be a refund of the delivery price.


We cannot be held liable for any damage that is rendered to the cake at the venue once we have left the premises. It is with this in mind that we require somebody responsible, to check that they are happy with the cake before we leave.


If you chose to collect the cake, we will not be held liable for any damage to the cake once it has left our premises. Tiered cakes are most at risk during transport; we highly recommend you check your wedding insurance covers cake damage. To ensure your cake is as fresh as possible, we recommend it be collected the day before the wedding.


Late requests for delivery (after securing the booking based on collection) will be accommodated where possible, but cannot be guaranteed, as earlier delivery commitments must take priority.


CAKE SETUP

It is the clients responsibility to ensure arrangements are made for the cake table, linen, cake stand & knife, which should all be set- up prior to our arrival. If any delay is incurred due to these not being set-up, we reserve the right to charge for any delay incurred (labour / time costs at £20 per hour). Alternatively please arrange for the cake to be left with the event manager to assemble / move into position as appropriate. Please take extra care to ensure a stable cake table is available if you are having a marquee wedding, as surrounding floorboards can easily rock the cake once stood on.

DAMAGE

Please remember that cake decorations are very delicate items, and we cannot accept responsibility for damage that is done to the cake after it has left our possession.


If any damage is rendered to the cake after it has left our possession, then you can advise us and request a repair, which will be costed accordingly, including transport costs if appropriate.

PORTION GUIDE

Our portion guides are intended as a guide only. This will vary dependant upon how the chef cuts the cake.

CAKE STORAGE CONDITIONS

Your cake is baked to ensure it is fresh for the date of your event, we cannot guarantee its quality if it’s consumed more than 48 hours after the event. Our cakes are made entirely of natural ingredients, so we’d like to remind you that because of this they will not have the extended shelf life of most supermarket cakes, which contain additives and preservatives to ensure their prolonged life. Freezing the cake however, preserves the taste of the sponge and icing as much as feasibly possible, but please bear in mind that it will affect the visual appearance of the icing, as condensation will form upon defrosting.


Food hygiene recommendations recommend that food should only be frozen for a maximum of 3 months

If you plan to keep any of the cakes tiers, please advise us what cake boxes you would like to be left on site (so that you can safely transport them the following day). Otherwise we shall remove all cake boxes from the venue to ensure we leave it as tidy as possible.


Sugar paste cakes should not be refrigerated, as it will cause condensation to form on the surface of the icing. Refrigeration also accelerates the staling of the flour in the cake.

BUFFET STORAGE CONDITIONS

It is recommended that buffets should be consumed within 3 hours of non refrigerated items, we therefore need to deliver and set up buffet as close to the time they are needed to meet these requirements.

HIRE OF CAKE STANDS / ACCESSORIES

If you would like to hire a cake stand or decorations, then a cash deposit is required prior to release.

Deposit amounts vary dependant upon the value of the item being hired.

Please make arrangements to ensure items hired are safely returned to us within 7 days of the cake release.

Once we receive the hired item back we will release the deposit held subject to no breakages.

COMPLAINTS PROCEDURE

If you have concerns about your cake, please notify us upon collection / delivery of the cake so that we have the opportunity to rectify it in time for your event. All other concerns should be made in writing, and evidence of the fault should be included. No refunds are given due to change of mind.

In the unlikely event of late delivery, the maximum compensation will be a refund of the delivery price. We ask for patience with factors that may be beyond our control (e.g. traffic conditions) as we cannot be held liable for any such delays.

Refunds are at the discretion of Grab and Go Sandwich Co.
